Receptionist & Estate Administrator (full-time)
Summary
The ideal candidate will serve a dual role, acting as the primary Front of House Receptionist for De Beauvoir Block and concurrently as the Office Manager and Estate Administrator for The Benyon Estate.
The successful candidate will be the first point of contact for members and tenants, provide exceptional customer service, manage daily reception operations, ensure coworking spaces are fully serviced, and provide essential administrative support across various Estate departments.
Key Responsibilities
De Beauvoir Block
Front of House & Member Services:
- Exceptional Customer Service: Deliver a warm welcome and act as the first point of contact for all members, tenants, and guests, professionally addressing their needs and inquiries.
- Reception Management: Maintain a consistently tidy, inviting, and professional reception area.
- Visitor & Access Control: Greet and sign-in guests, manage front door access, and efficiently operate the intercom system.
- Meeting Room Coordination: Handle all meeting room bookings, ensuring smooth and efficient scheduling for members and tenants.
- Mail & Deliveries: Oversee the efficient handling of incoming and outgoing mail and manage the delivery locker system and associated reception-based applications.
- Membership & Sales Inquiries: Respond to general website and email inquiries regarding memberships, day passes, and meeting room bookings.
- Financial Processing: Take day pass payments, manage the signing out of access fobs, show prospective members the space, and post day pass payments to the Essensys system.
- Facilities & Stock Management: Proactively stock and manage supplies in co-working, kitchens, bathrooms, and printing stations, ensuring the areas are clean and well-presented.
- Contractor Liaison: Sign out keys and fobs to contractors as required.
- Administrative Support: Assist the Building Manager with administrative tasks as needed.
The Benyon Estate
Office Management Duties:
- Supply Management: Manage and maintain stock levels for all office supplies, including kitchen provisions and stationary, and process orders for required supplies.
- Communication Systems: Ensure all office phones are working correctly and manage
- changes to voicemails or automated wording.
- Logistics & Permits: Order parking permits and manage incoming/outgoing post for the Estate office.
- Key Management: Manage key software, including the general signing in and out of Estate keys.
- Social Event Coordination: Liaise with office staff to organise and arrange bi-monthly social events.
- Estate Administration Duties: Accounts Assistance: Support the Accounts Department with data entry and the allocation of invoices.
- Email & System Management: Allocate and direct emails within the asset management system as required.
- Departmental Support: Provide general administrative assistance to both the Commercial and Residential departments as requested.
Skills and Qualifications
- Proven experience in a customer-facing role, ideally within a reception, front-of-house, or office administration environment.
- Exceptional communication and interpersonal skills, with a professional and friendly
- demeanour.
- Strong organisational skills and attention to detail, capable of managing multiple
- responsibilities simultaneously.
- Proficiency in Google Workspace and Microsoft applications (excel, word etc).
- A proactive and helpful attitude, with the ability to work independently and as part of a team.
